Annual Privacy Notice

Technology and new marketing practices have increased the amount of consumer information collected and shared in today's marketplace. Consumers are concerned about the impact this development has or might have on their privacy and reputation. At Heritage Federal Credit Union (HFCU) we are sensitive to the importance of these concerns and understand that the basis of each member relationship is trust. We know that whether you are an existing member, or are considering doing business with HFCU, you have an interest in how we collect, retain and use information about you and your relationship with us. We have an obligation to honor your trust, beginning with protecting the confidential information you share with us. We believe that your privacy should not be compromised. At the same time, HFCU wants to serve members as effectively and conveniently as possible and offer you an array of financial products and services you need to accomplish your financial goals. We believe that we can accomplish this through the privacy policy outlined below.

Information We Collect at Heritage Federal Credit Union

We accumulate information about our members from a variety of sources:

  • Information we receive on membership and loan applications, e-mails and other forms;
  • Information that is generated electronically when you visit our website and use our Internet Banking service;
  • Information about transactions with us or others;
  • Information we receive from a consumer reporting agency;
  • Information obtained when verifying the information provided on an application or other forms, such as from current or past employers or from other institutions where members conduct financial transactions;
  • Specialized firms that obtain demographic and household information. (We only collect this information for internal use and do not disclose it to anyone.)

How We Use This Information

We collect, retain, and use information about you only where we reasonably believe that it will help us to:

  • Mitigate potential risks or loss to HFCU;
  • Protect and administer your records, accounts and funds;
  • Comply with certain laws and regulations;
  • Help us design or improve our products and services; or
  • Understand your financial needs so that we can provide you with quality products and superior service.

How We Disclose This Information to Others

We are committed to providing you with competitive products and services to meet your financial needs, which necessitates that we may share information about you with our affiliated third party financial services provider, which provides brokerage and insurance services, and with other companies that we have entered into agreements with that provide either services to us or additional financial products for you to consider. Under these arrangements, we may disclose information we collect, as described above, to companies
that perform marketing or other services on our behalf or to other financial institutions with whom we have joint marketing agreements. When the credit union conducts business with non-affiliated third parties, it requires them to maintain similar standards of conduct
regarding the privacy of personally identifiable member information provided to them. It is
the credit union's policy not to reveal specific information about member accounts or other personally identifiable data to unaffiliated third parties, except under the following conditions:

  • If the information is provided to help complete a member-initiated transaction.
  • If the member requests it.
  • If the information is required for legitimate credit union use, in accordance with applicable law and standard industry practices. This includes information provided to attorneys, collection agencies, and credit reporting agencies for the purposes of collecting debt, verifying a member's existence, and verifying a member's account condition.
  • If the information is required by or allowed by law (for example, a subpoena or court order to produce records regarding the member's account relationship with the credit union).
  • If the information is required by a credit union auditor, an outside firm that performs the credit union's annual audit, or a federal examiner for the purpose of completing an official audit or regulatory examination of the credit union.
  • To make available products or services that are offered by a third party who is under contract to provide these services or products.
  • To protect the confidentiality of the credit union's records and to protect against fraud.
  • To other non-affiliated third parties as permitted by law.

Heritage Federal Credit Union will share only information that is necessary or required by law and will not share information with independent companies that do not provide a service or product that the credit union endorses.

Maintenance of Accurate Information

Heritage Federal Credit Union works hard to ensure that your non-public personal and financial information is secure, accurate, current and complete. Please let us know immediately if any of your information is incorrect or if anything changes such as your name or address and we will correct the information in a timely manner.

Limitations on Employee Access to Information

At HFCU, employee access to personally identifiable member information is limited to those with a business reason to know such information, either to assist you in the completion of transactions or in the providing of additional financial services. Employees are educated on the importance of maintaining the confidentiality of member information and on the Privacy Principles. Because of the importance of these issues, all HFCU employees are responsible for maintaining the confidentiality of member information and employees who violate these Privacy Principles will be subject to disciplinary measures.

Protection of Information via Established Security Procedures

HFCU is committed to the security of your financial and personal information. All of our operational and data processing systems are in a secure environment that protects your account information from being accessed by third parties. We safeguard information according to established security standards and procedures and are continually assessing new technology to protect your information.

Disclosure of Information about Former Members

If you decide to terminate you membership with Heritage Federal Credit Union or become an inactive member, we will not share information we have collected about you, except as may be permitted or required by law.

How to Limit Solicitations from Companies

If you would like to reduce the amount of advertising you receive from other companies, you can write to the agencies listed below. Please include the following in your letter:
First, middle, and last names (including Jr., Sr., III)
Current address
Previous address (if you've moved in the last six months)
Home area code and telephone number (only for Telephone Preference Service)
Signature

Opting out will not end solicitations from all local merchants, religious and charitable associations, professional and alumni associations, politicians, and companies with which you conduct business. To eliminate mail from these groups, as well as mail addressed to "occupant" or "resident", write directly to each source. If you write the Direct Marketing Association, you'll be removed from their member lists for five years.

If you would like to have your name taken off all pre-approved credit solicitations, you can write to the credit reporting agencies listed below or call 1-888-567-8688. Please include the following in your letter:

Internet Privacy Guidelines

Privacy for Internet Users

Our commitment to safeguard your privacy also extends to the Internet. If you are just browsing through our Website, we do not request any personally identifiable information, nor do we collect unique identifying information about you unless you voluntarily and knowingly provide us that information, such as when you send us an e-mail or complete an application online. If you provide us this information, it is only used internally and in furtherance of the purpose for which it was provided.

Our Internet financial services provider, FundsXpress Financial Network, Inc. (FundsXpress) may collect general information on our Website visitors simply to help us provide banking and other financial services to you online. They collect certain information on our behalf for security and statistical purposes. The information collected for these purposes may include:

  • The Internet address (referral site) which brought you to our web site.
  • The date and time you access our site.
  • The name and version of your web browser.
  • The Internet service provider you used when you accessed our site.
  • Your Internet Protocol (IP) address.
  • The pages visited in our Website.

FundsXpress may use cookies to collect this general information on all Website Visitors. They also use cookies for security purposes in our Internet Banking product.

In the future, we may use aggregate, general, non-personally identifiable information to help us market our products and services that may be of interest to you.

Internet Protocol (IP) Addresses

An IP address is a number that's automatically assigned to your computer whenever you're on the Internet. Web servers, the computers that "serve up" Web pages, automatically identify your computer by its IP address.

When collecting information for us, FundsXpress does not link IP addresses to anything personally identifiable, which means that a user's session will be logged, but the user remains anonymous.

FundsXpress may use IP addresses to audit the use of our site. They can and will use IP addresses to identify a user when necessary for security purposes.

What is a Cookie?

A cookie is a very small text file sent by a web server and stored on your hard drive, your computer’s memory, or in your browser so that it can be read back later. Cookies cannot “read” information about you from your computer or be used to “steal” information about you; and cookies don’t carry viruses. Cookies are a basic way for a server to identify you (most cookies actually identify the computer you happen to be using at the time, not you personally). Cookies are used for many things from personalizing start up pages to facilitating online purchases. Cookies help sites recognize return visitors and they perform a very important function when you engage in secure Internet banking. For your security, we do not store any of your personal information in our cookies. The cookies used in our Internet banking system are further described below.

Internet Banking Cookies

FundsXpress uses encrypted cookies that do not pass to your computer’s hard drive. Instead, the cookie is stored in your computer’s memory, identifying only your computer while you are logged on. Only FundsXpress can read the information in these cookies. This Internet banking cookie allows FundsXpress to process multiple transactions during your session without requiring you to reenter your pass code for each individual transaction. The cookies for Internet banking simply provide another level of security for our Internet banking product. When you log off, or close your browser, the cookie is destroyed. A new cookie is used for each session. That way, no one can use the prior cookie to access your account. For additional security, the cookie expires after 10 minutes of inactivity. It must then be renewed by re-entering your pass code. FundsXpress does not (and cannot) use this cookie to collect or obtain new personal information about you. You must allow your browser to accept this cookie so you can use the Internet banking system.

External 3rd Party Links

Our Website has numerous links to other 3rd party sites. These links to external third parties are offered as a courtesy and a convenience to our members.

HERITAGE FEDERAL CREDIT UNION IS NOT RESPONSIBLE FOR THE PRIVACY PRACTICES OR THE CONTENT OF SUCH WEB SITES. AS A GENERAL RULE, YOU SHOULD ALWAYS LOOK FOR AND REVIEW A SITE'S PRIVACY POLICY BEFORE GIVING OUT ANY PERSONAL INFORMATION.

Third party merchants may collect personal information from you when you visit their sites. For example, they collect personal information from you when you provide billing information or send them an e-mail. Some third party merchants may also send you a cookie to collect data on your Internet usage and preferences. When you click on advertisements at third party sites, the advertising company may also send you a cookie. With the exception of our service provider, FundsXpress, we do NOT have access to the information collected by any third party, nor can we control how they use this information. If you have questions or concerns about the privacy policies and practices of these third parties, please review their websites and contact them directly.

No Data "Capture" with Planning Tools

There are many planning tools throughout the site to help you make the financial decisions that are right for you in the privacy of your own home. We encourage you to try all of your "what if" scenarios as often as you like. Examples include the loan payment calculator and the retirement calculator. When you use various planning tools on our website, the calculations run on your PC or our server. We do not capture the personal information you provide on these planning tools.

Protecting your Online Banking

Heritage Federal Credit Union respects your right to privacy and takes every precaution to provide you with the same level of privacy within our virtual branch that you receive through more traditional credit union delivery channels. When you bank online with us, we, along with the outside companies we work with to bring these services to you, have access to your information. Information is retained on our system or the system of the appropriate outside company, depending on what is required in order to serve you.

We use state of the art Internet technology; supported by the outside companies we work with, to make online banking secure and to protect your personal information. We also require an I.D. and password to access your accounts. If you do not provide this information, we cannot establish an online banking service for you.

You can also help maintain the security of your banking information by not sharing your I.D. or password with anyone, by changing your password regularly, and by remembering to sign off. Consolidation Sites

Please use caution when using consolidation sites. Consolidation sites are Internet sites which offer the ability to collect all of your personal information on one site. For example, you may be encouraged to provide consolidation sites your personal finance information, such as your Online ID, Access ID, PC Password or Online Password for Internet Banking. NEVER PROVIDE ANY PERSONAL INFORMATION TO A SITE THAT YOU DO NOT RECOGNIZE AND FULLY TRUST.

YOU SHOULD KNOW: ALL transactions initiated by a consolidation site using access information you provide are considered to be authorized by you, whether or not you were aware of the specific transaction. You may revoke this authority only by notifying us, and we may need to block your account until we issue new access codes.

Heritage Federal Credit Union is committed to making sure that your Internet banking is safe and secure. With our own security infrastructure in place, we are confident that access to your accounts is private and secure; we are unable to provide similar assurances for other websites. While HFCU works to protect your banking privacy, you also play a role in protecting your accounts. Only provide your Access ID or Online ID when your browser shows a Secure Socket Layer (SSL) connection directly to the HFCU website or to another site you have investigated and fully trust. You are on a secure site when the connected key appears in the lower left corner of your screen in Netscape's Navigator, and when the closed lock appears in Microsoft's Explorer. When you are not on a secure site, Netscape's key appears to be broken and Microsoft's open lock is not shown.

How HFCU Handles E-Mail

Visitors to Heritage Federal Credit Union's website are not required to disclose any personal identifying information. If, however, you choose to contact us by e-mail, please keep in mind that regular non-encrypted e-mail is not secure. If you need to send us a secure e-mail you may do so by logging on to FundsXpress Internet banking. Since an Internet e-mail response back to you would not be secure, we will not include confidential account information in an e-mail response. You can be assured that when you communicate with us via e-mail, we will use your e-mail information only for the specific purpose of responding to your comments or questions. Your e-mail address will not be sold.

In the future we may send you e-mail notices for certain required disclosures if you choose to accept electronic disclosures or statements. We may also send you e-mails to market our products and services that may be of interest to you. We may also provide you an opportunity to subscribe to a newsletter; however, we will always provide you an opportunity to opt-in or opt-out of these advertising promotions if required by law. FundsXpress may send e-mails as an agent on our behalf.

Protecting our Children

We do not knowingly solicit data from children, and we do not knowingly market to children. We recognize that protecting children's identities and privacy online is important and that the responsibility to do so rests with both the online industry and parents.

Amendments and Changes

Heritage Federal Credit Union reserves the right to amend or change this policy at anytime and without notice. For the most current version of this policy you can:
